Privacy notice
This notice explains what personal information we collect, why, and what your rights are. We only collect what's needed to run the business.
Who we are
Mildred Foo is a trading name of Kanban Delivery Ltd, registered in Scotland (company no. SC524712). Registered office: 2 Hursted Close, Easthouses, Dalkeith, Midlothian, EH22 4GA, United Kingdom.
Kanban Delivery Ltd is the data controller. For any privacy question, email hello [at] mildredfoo.com.
What we collect
- When you email us: your name, email address and what you write.
- When you book a call: your name, email address and anything you add to the booking form.
- When you take the Operations Health Check: your answers and, when you ask for your report, your name, email address and business name (if you give one). While you're taking it, your answers are kept in your browser tab so you don't lose your place. They're cleared when you close the tab. When you ask for your report, the form uses Cloudflare Turnstile to check that you're a person. Turnstile looks at your browser and IP address to do that, and it is only loaded when you open the form.
- When we work together: contact details, contract and invoice details, and any business information you share for the work.
- When you visit this site: the web host and font provider receive your IP address and basic browser details, as with any website.
- If you accept analytics cookies: how you use this site, as described below.
Analytics cookies
With your permission, this site uses Google Analytics to see how people use it, so we can tell which parts are useful. It records:
- Which pages you visit and which sections of a page you scroll to
- Whether you click the email link, copy the email address or click to book a call
- Whether you click a link to the Operations Health Check and where on the page it was, and whether the small invitation to take it was shown or closed
- Whether you start and finish the Operations Health Check, whether you chose the "just me" or the "team or regular help" version, your overall level and score, whether you asked for the report and newsletter, and whether you booked a call from it. Not your individual answers, name or email address.
- General details such as your browser, device type, approximate location (country or city) and the site that referred you
Google Analytics sets cookies (named _ga and _ga_XQ7MY39920) that last up to 2 years, so it can tell repeat visits apart. It doesn't record your name, email address or anything you type, and it doesn't store your full IP address. We don't use Google's advertising features, and we don't use this data to identify you.
Nothing is loaded from Google Analytics until you click Accept. If you click No thanks, no analytics cookies are set. Your choice is saved in your browser so we don't ask again. You can change your cookie settings at any time.
If you close the small invitation to take the Operations Health Check, or finish the health check, your browser also saves the date until which the invitation shouldn't appear again (30 days, or a year once you've finished it). It's only a date, it stays in your browser, and it isn't sent to us.
This site doesn't use advertising cookies.
Why we use it
- To reply to enquiries and book calls. The lawful basis is our legitimate interest in responding to people who get in touch.
- To send your Operations Health Check report. We email it to you, and Mildred gets a copy so she has your results if you reply or book a call. The lawful basis is our legitimate interest in providing the report you asked for.
- To send you Insights and occasional service news, only if you tick the box when you ask for your report. The lawful basis is your consent. You can unsubscribe at any time.
- To deliver work for clients. The lawful basis is our contract with you.
- To keep accounts and tax records. The lawful basis is legal obligation.
- To understand how the site is used. The lawful basis is your consent, which you can withdraw at any time.
We don't sell your information or use it for marketing without your permission.
Who else handles it
We use trusted providers to run the business. They only process your information to provide their service:
- Calendly: call bookings
- Our email provider: email
- Resend: sending Operations Health Check report emails
- Cloudflare: hosting this website, creating your Operations Health Check PDF, and checking that the report form is used by a person (Turnstile)
- Google Fonts: fonts for this website
- Google Analytics: site statistics, only if you accept analytics cookies
- ClickUp, FreeAgent and similar tools: client projects and accounts
Some of these providers process data outside the UK, such as in the United States. Where they do, they use legal safeguards approved under UK law.
We only share your information with anyone else if the law requires it, for example a court order.
How long we keep it
- Enquiries and bookings that don't lead to work: up to 2 years.
- Operations Health Check reports: Mildred's copy of your report email, up to 2 years. Resend keeps a log of sent emails for a short time. Your report isn't stored anywhere else. To stop the form being misused, we keep a scrambled (hashed) copy of your IP address and of the email address you enter for up to a day, so we can limit repeat requests. They can't be turned back into the original.
- Client and financial records: 6 years after our work ends, as required for tax and company records.
- Analytics data: 14 months in Google Analytics, then deleted automatically.
Your rights
You can ask us to:
- Tell you what information we hold about you, and give you a copy
- Correct anything that's wrong
- Delete your information, unless we must keep it by law
- Stop or limit how we use it
Email hello [at] mildredfoo.com and we'll reply within one month.
If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to put things right first.
Changes
If we change how we use personal information, we'll update this page and the date at the top.
